Operations Assistant

Our signature program, Double Up Food Bucks, serves as a national model for healthy food incentives by doubling the buying power of SNAP recipients, helping families bring home more fruits and vegetables while boosting business for local farmers. About the Role:

The Operations Assistant will be responsible for managing the office environment and basic operations portfolio for the organization, including facilities and office technology, in support of an efficient workplace and desirable organizational culture. The Operations Assistant will work primarily out of the Ann Arbor, Michigan office, but will also be responsible for maintaining the Detroit office and liaising with out-of-state staff on their local offices. This position is full-time. The Operations Assistant will report to the Operations Director, Madeline Smith.

Key Responsibilities:

Business Operations

  • Support internal communications to ensure information is disseminated quickly and clearly among all staff, including to FFN’s remote offices
  • Manage business operations accounts including annual state registrations, website domains and hosting, and shared software; prepare check requests and process invoices
  • Streamline tech, facility, and internal communications policies and tools; updating systems and training staff as needed
  • Maintain audio/video conferencing, meeting spaces, and other collaboration infrastructure
  • Manage FFN’s phone and mail systems collect, process and distribute mail


  • Liaise with landlord, handyman and cleaning staff as needed
  • Manage office moves, and support construction and renovation projects of all of FFN’s locations; find appropriate contractors and competitive bids
  • Maintain care of FFN’s offices, including ensuring cleanliness and organization; re-arranging the physical spaces; and implementing measures to reduce waste and ecological impact
  • Manage and order office and kitchen supplies, and maintain functionality of furniture and equipment

Information Technology

  • Provide IT support to staff, including basic troubleshooting of hardware and software
  • Maintain technical equipment inventory and shared software (Office 365, online file server)
  • Oversee relationship with FFN’s IT managed service provider and liaise with additional IT vendors
  • Manage database permissions and support updates to FFN’s contact database (Salesforce)
  • Respond to and manage incoming emails to info@fairfoodnetwork.org account

Team Support

  • Support overall team effectiveness by providing occasional administrative support for mailings, events, and other key programmatic activities
  • Plan social and teambuilding opportunities for staff, and coordinate logistics for occasional skills-development events
  • Ensure important staff milestones (e.g. birthdays) are recognized and celebrated
  • Other job-related duties as necessary

What You’ll Need:

  • 2+ years of relevant work experience
  • Ability to be unflappable in the face of competing deadlines, projects and priorities
  • Strong organizational skills, including attention to detail and follow through
  • Experience managing a wide-variety of IT systems and platforms
  • An ability to maintain a high-level of confidentiality
  • An orientation towards great customer service to fellow staff and visitors
  • Work environment requires ability for some physical exertion and/or strain, primarily involving moving boxes, office decoration/layout and facilities management
